What Does an RFID Linen Tracking System Cost, and How Is It Deployed?
RFID linen tracking is quoted on a station-based model. Rather than a single licence fee, equipment is priced per operational station — each physical point in the plant or site where items are read — with a tag rental component and a fixed-term monthly rental. Quotes are available in ZAR, USD or EUR.

What a station is
A station is one functional read position. In a commercial laundry these typically include dirty receive, heat seal, item movement, rewash, mending, packaging, exit monitors and handheld readers. In a hospital or hotel deployment they are usually tagging, dirty receive, exit monitors and handheld stock-take positions.
You are effectively buying visibility one point at a time. Each station you add answers a specific question — did it arrive, was it washed, did it leave the building — and the quote scales with how many of those questions you need answered.
What drives the cost up or down
Number of read points. The largest single factor. A deployment covering dispatch and receive only is materially cheaper than one covering the full in-plant pipeline plus every exit door.
Volume of items in circulation. Tags are per item, so par stock drives the tag component directly.
Number of sites. One system can serve multiple plants or properties, with each seeing only its own data, so a group deployment does not multiply the software cost the way it multiplies hardware.
Process complexity. Sites with unusual flows are handled by configuring a process profile rather than by custom development, which keeps complexity from translating directly into cost.
Why rental rather than purchase
Equipment and tags are supplied on a fixed-term monthly rental with a tag rental component. For most operations this matches the shape of the benefit: linen loss is a recurring operating cost, so the countermeasure sits in the same budget line rather than requiring capital approval.
It also means tag replacement over the life of the deployment is part of the arrangement rather than an unplanned expense.
How deployment runs
Installation runs from a scripted, service-managed install kit rather than a bespoke build per site. In practice that means the sequence is: assess the site and agree the read points, tag the linen in circulation, install and commission the stations, then run a period of parallel operation while baseline data accumulates.
The tagging pass is usually the largest single piece of work, since every item in circulation needs a tag before the counts mean anything.
How to think about payback
The return comes from three places, in roughly this order of size.
Reduced loss. Items that were disappearing become traceable, and the points they disappear from become visible. Exit monitoring in particular tends to change behaviour once staff know which doors are monitored.
Resolved disputes. Where a hotel and a laundry, or a hospital and a laundry, have been arguing about counts, item-level evidence ends the argument. For sites in a long-running dispute this is often the reason they start.
Planned replacement. Lifetime wash counts and end-of-life forecasting move procurement from emergency ordering to scheduled replacement, which is usually cheaper per item and avoids running below par.
Being direct about the limit: if your losses are already small and you have no dispute, the setup cost will not pay back quickly. The systems that repay fastest are the ones deployed where a real, quantified problem already exists.
What to prepare before asking for a quote
Three things make a quote accurate rather than indicative: the number of items in circulation, the number of physical points where linen changes hands, and your issue and return records for a recent period.
That last one matters most. It allows the loss question to be answered against your own data before any hardware is discussed.
