RFID vs Barcode vs Manual Counting for Linen and Workwear
There are three practical ways to track linen and workwear through a laundry cycle: count it by hand, scan a barcode on each item, or read RFID tags in bulk. Each works. They differ in what they cost to run, how much they interrupt the operation, and what kind of evidence they produce when something goes missing.

The short version
Manual counting is free to start and produces aggregate totals. It tells you that thirty sheets are missing. It cannot tell you which thirty, when they went, or whose count was wrong.
Barcodes produce item-level records at a low hardware cost, but each item must be handled individually and presented to a scanner in the right orientation. In a laundry that handles thousands of items a shift, that handling time is the whole problem.
RFID reads many items at once without line of sight, so counting stops being a separate task and becomes a by-product of movement the operation was doing anyway. The cost is tagging every item and installing readers at each point you want visibility.
Speed and handling
The decisive difference is bulk reading. A barcode must be found, oriented and presented to a scanner one item at a time. An RFID reader can count a full trolley in a single pass, through fabric, in any orientation.
This is why barcode systems tend to work in low-volume, high-value environments and struggle in commercial laundry. A process that adds two seconds per item is invisible on fifty items and impossible on five thousand.
Manual counting is faster than barcodes per item but produces no item-level record at all, so the speed is bought by giving up the evidence.
Durability
Industrial laundry is a hostile environment: high temperatures, caustic chemistry, mechanical agitation and pressing. Printed barcodes fade, abrade and become unreadable, and a barcode that cannot be read is an item that has left the system.
RFID tags designed for laundry are sealed and passive, with no battery and no printed surface to wear away. They are built to survive repeated industrial cycles, which is what makes lifetime wash counting possible — a tag that accumulates a count across years of washing.
The evidence produced
This is where the three approaches genuinely diverge, and it matters more than speed.
Manual counting produces a number. When a hotel and its laundry disagree, both parties have a number, the numbers differ, and there is no way to establish which is right. Disputes are settled by negotiation or by whoever argues hardest.
Barcodes produce item-level records at the points where someone had time to scan. Coverage is usually partial, which means gaps are ambiguous — an unscanned item may be lost or may simply have passed a station during a busy period.
RFID produces a record at every read point, automatically. That allows reconciliation per leg of the cycle rather than in aggregate, so a shortfall is attributable to a specific collection on a specific day at a specific point in the loop. It also allows the reverse question to be answered: proving that your side did deliver what it said it delivered.
What each approach costs
Manual counting has no hardware cost and a permanent labour cost. The labour is usually invisible because it is absorbed into existing roles, which is why it is systematically underestimated.
Barcodes have a low hardware cost, a low consumable cost, and a per-item handling cost that scales linearly with volume forever.
RFID has a higher setup cost — tags on every item, readers at every point you want to see — and a low running cost, because reading is automatic. IntelTagRFID quotes on a station-based model: equipment priced per operational station, with a tag rental component and a fixed-term monthly rental.
The economics turn on volume and on the value of the evidence. A small operation losing little linen will not recover the setup cost. An operation with a serious loss problem, or one in a recurring dispute with a laundry or a customer, usually finds the evidence is worth more than the tracking.
When RFID is not the right answer
It is worth being direct about this, because the wrong deployment fails expensively.
If your linen volume is small and your losses are already low, the setup cost will not pay back. Fix the process first and measure again.
If items are short-lived or disposable, tagging cost is spread across too few cycles to justify itself.
If nobody will act on the data, RFID will produce excellent reports about a problem that continues. The system identifies which door garments leave through and which staff hold un-returned uniforms; recovering them is still a human task. Sites that treat the reports as an inbox item rather than a daily action see the loss rate stay flat.
And if you only need aggregate totals and have no disputes, a manual count is adequate and cheaper.
The realistic decision
Most operations that move to RFID do so for one of two reasons: the losses have become large enough to notice on the replacement budget, or a dispute with a counterparty has become unresolvable because neither side has item-level evidence.
If neither of those describes you, the honest answer is that you probably do not need it yet. If one of them does, the question is not whether to track but how much of the cycle to cover — and that is a question about read points, which is where a site assessment starts.
