LAUNDRY INVOICE DISPUTES

How do you settle a laundry invoice dispute?

With item-level evidence against the delivery note, produced before the invoice is queried rather than after. IntelTagRFID is a UHF-RFID textile tracking and laundry reconciliation platform that matches every dispatched item to the receiving site scan and reports conversion per delivery note. A billing query then has a specific subject — this note, this day, these item identifiers — instead of a disagreement between two manual counts that were never going to agree.

The problem is the counting method, not the counters

Manual counts are taken at speed, by different people, at opposite ends of a transit leg, often under pressure. Two honest counts of the same trolley routinely differ. Once an invoice is built on one of those counts and challenged with the other, there is no record capable of resolving it, so the dispute is settled by negotiation and relationship rather than evidence.

Conversion per delivery note

Each note carries its own conversion percentage: dispatched items matched to a receive, expressed per note rather than per month. A separate delivery-note accuracy floor, configured at 90.0 by default, identifies exception days for review. Any note can be opened to the individual items behind it, which turns a credit request into a line-item claim.

Separating operator error from missing stock

Where off-note items cluster around one note number, a likely-wrong-note suggestion is surfaced with a confidence percentage. This is a deterministic heuristic over the scan pattern. It matters for billing because a mis-keyed note at the receiving bay produces exactly the same monthly shortfall as genuine loss, and only one of the two justifies a credit.

A referee both parties can read

Where a laundry runs the platform, each customer can be given a scoped login and sees only their own linen data, enforced server-side on every drill-down. Both parties then work from the same record rather than exchanging spreadsheets. For laundries, this changes the commercial conversation: the reconciliation report becomes a service the customer values rather than a document they contest.

Common questions

The delivery note, the dispatch and receive scans matched against it, and the item identifiers behind any shortfall. Conversion is reported per note, so the claim is specific rather than a monthly total.

A configured setting, 90.0 by default, used to flag exception days for review. It is configuration set per deployment, not a measured outcome.

Yes. Every per-note figure can be opened to the individual items it is built from, which is what converts an estimate into a line-item claim.

Off-note items clustering around a single note number trigger a likely-wrong-note suggestion with a confidence percentage. The cluster pattern is what separates a receiving error from stock that did not arrive.

Yes. Each login is scoped by laundry, company, customer and site, with server-side checks on every drill-down, so both parties can read the same reconciliation without either seeing another customer’s data.

It removes the need to settle disputes with them. Counting remains part of the physical process; what changes is that the record used to resolve a query is the scan history rather than a recollection of a count.
